Solo economics are brutal and simple

Every seat license and every unused module is money that should have been gross margin. Category kings built for 200-agent desks will happily quote you. That quote does not make you safer if your actual failure mode is skipping the census phone call because you were covering three loads alone.

The solo failure modes are specific. You approve a carrier on Tuesday. You book them again on Thursday without re-checking insurance because you “already know them.” A COI lands with a near-name LLC and you are too rushed to compare entity type. Peer tools sit open in a tab you stop reading by week three. None of those problems need an enterprise identity rollout. They need a short checklist you will follow when tired, and a watchlist that pages you when a keeper moves.

SAFER is still correct work. If you cover a handful of new MCs a week, keep a personal log, and honestly re-open the snapshot before reuse, free is better than paying us. The moment you notice you booked a carrier twice without a second look, or a COI named the wrong legal person, the subscription conversation starts. Not before.

Highway is a special case. Size does not waive a shipper mandate. If one account requires Highway, buy Highway for that freight. Do not buy Highway to feel enterprise when no questionnaire asked for it. Feeling enterprise is not a control.

What a solo broker actually needs

  1. Speed. One report before the shipper calls back. Six government tabs lose to a readable census page every time.
  2. Memory. What you approved last month without digging Slack DMs with yourself. Shared history still helps when the “team” is one person.
  3. Aftercare. A ping if insurance or authority moves on a keeper. You have no compliance department to catch it.

SAFER Company Snapshot is FMCSA’s free public view of carrier identity and census fields: legal name, address, phone, USDOT, equipment counts, related flags. You can search by USDOT, MC/MX, or name. For a one-off check with no vendor in the middle, SAFER is better than paying anyone.

SAFER was not designed as a broker team workspace. It does not monitor approved carriers, parse a COI against the legal name on file, or keep shared lookup history. On a busy desk, that means every agent rebuilds the file, and last month’s keeper gets re-checked only if someone remembers.

DIY SAFER is still correct work. The sequence does not change because you bought software: census identity, then L&I for authority / BOC-3 / BMC filings, then rate-con name match, then census phone on first-time MCs. Verifreta organizes that morning. It does not replace the federal pages.

Stay on SAFER alone when volume is low, one person owns every check, and you will honestly re-open the snapshot before reuse. Move to a desk tool when two agents disagree about the file, or when insurance lapses on keepers keep surprising you.

Score legal-name clarity, time to a rate-con-ready note, and whether you still opened L&I (you should). Keep the report you would defend to a shipper without shame.

Ask the COI and monitoring questions explicitly. SMB tools differ on whether certificate compare and post-approval alerts are included or bolted on. Brokers use Carrier411 for FMCSA-adjacent carrier records and peer flags about past problems. Those signals can save you from a known bad actor. They can also create false confidence if an agent treats “no flag” as clearance.

If your desk’s habit is “open Carrier411, skim flags, book,” you still need a live lookup, a match on the legal name including entity type, and a callback to the census telephone. Peer rumor stays peer rumor. We will not pretend Verifreta hosts that community board - it does not.

Carrier411 is better than Verifreta when peer reputation is a load-bearing input on your desk: you can point to declines that started with a FreightGuard-style prompt. It is worse when the product becomes cargo-cult clicking that replaces L&I.

Many desks keep both: peer prompts in one tab, shared census report and watchlist in another. That is coherent. Ripping out peer tools because a blog post said “census only” is only smart if your postmortems show the flags never changed outcomes.

When it is the only right answer
A shipper questionnaire or operating agreement requires Highway (or equivalent) participation. No $49 tool substitutes for that mandate.

Highway is a carrier-identity platform. The job is network participation and fraud prevention at tender: verifying who is allowed into the freight conversation, continuous checks around load time, and a standard large desks and shippers can point to. That is a real product category. It is not “SAFER but prettier.”

Large brokerages buy it because every tender must pass the same gate, often with TMS enforcement - no pass, no load. Procurement gets a vendor story. Compliance gets a control. Agents get a green/red participation signal that is not the same thing as “I matched Inc vs LLC on the rate con.”

If that is your job, Highway is better than Verifreta. We are not going to sell a desk subscription as a drop-in for shipper-mandated network identity. Doing so would strand you on the first questionnaire that asks for Highway by name.

Where Highway is the wrong medicine: a solo or five-person desk whose actual pain is rebuilding the census file from tabs and screenshots. Buying an enterprise identity rollout to fix tab chaos is how small brokerages waste a quarter. Name the job before you sign the quote.
